Encompass® integration for your CRM

Encompass and your pipeline, in sync.

Definitive Connector moves each loan's opportunity through your CRM pipeline as Encompass milestones are reached, and starts loans in Encompass from your workflows, without duplicates. Every value that moves is yours to map, custom fields included.

Never a duplicate loan Any Encompass field, CX included No borrower data stored

Features

Loans and leads in one pipeline

Loan officers keep working in Encompass. Everyone else sees where each loan stands in the CRM, and your workflows run on real milestones.

Milestones move your pipeline

Match each Encompass milestone to a stage. When a loan reaches it, the opportunity moves, usually within a minute. Funded loans close as won; denied and withdrawn loans close as lost or abandoned.

Loans from your workflows

The "Create loan in Encompass" workflow action starts a loan from a contact, in your folder and with your template, and returns the loan number for the workflow's next steps.

Never a duplicate

Running the action twice returns the same loan. A borrower who already has an active loan in Encompass is linked to it, and a past client coming back gets a new file.

Your fields, your way

Map any Encompass field, custom CX fields included, to any contact field, in either direction. Choose which CRM edits reach the loan: always, only when the loan's field is empty, or only at creation.

Loan officers matched

The contact's CRM user becomes the loan officer in Encompass, matched by email. For loans started in Encompass, the loan officer's CRM user owns the opportunity.

Bad values caught early

Every value is checked against your instance's own field definitions before it's sent. A value a field can't take is left out and reported on the contact; the loan still goes through.

Built for how loans really move

Your stages, your milestones

Use your instance's own milestone names and your own pipeline. Several milestones can share a stage, and loan status decides won, lost or abandoned.

  • Opportunities only move forward. If someone moves one along by hand, or a milestone is reopened, it isn't moved back.
  • Returning clients get a new loan. Once a loan is finished, the contact follows the new one, and the old opportunity stays as history.
  • Locked loans wait their turn. If someone has the loan open in Encompass, CRM changes are tried again until it's closed.
  • Branches can share an instance. Several business accounts can connect one Encompass instance; each loan belongs to one of them.

How it works

Set up in three steps

Everything is set on the connector's settings page, inside your CRM. No code and no middleware to run.

  1. Connect Encompass

Install the connector in your business account and enter the API user and API client your Encompass administrator created. It signs in before anything is saved.

  2. Match milestones to stages

Pick your pipeline, match each milestone to a stage, and check the field mapping. The defaults cover the borrower's name, contact details and address, and the loan amount.

  3. Add the workflow action

Add "Create loan in Encompass" to a workflow, for example when an application form is submitted. Loans start in seconds, and milestones take it from there.

Security

Borrower details pass through, never stored

The connector keeps your settings, your encrypted credentials and the IDs that link loans to CRM records. Borrower names, contact details, Social Security numbers and loan amounts pass through while a loan syncs and are never written to its storage or logs. Deliveries from Encompass and your CRM must carry a valid signature. Security and your data

FAQ

Questions, answered

Can it create duplicate loans?

It's built not to. Each contact has one active loan at a time: running the action again, or from two workflows at once, returns the same loan. If the borrower already has an active loan in Encompass with the same email, that loan is linked instead.

How quickly do changes show up?

Loan changes in Encompass usually reach the CRM within a minute. The workflow action takes about five seconds.

Which Encompass fields can I use?

Any field on your instance, including your custom (CX) fields, in either direction. Field mapping

What do we need on the Encompass side?

An API user and an API client (client ID and secret) for your instance, set up by your Encompass administrator. Setting up Encompass

Can several business accounts share one Encompass instance?

Yes. Each loan belongs to one account: the account whose workflow created it, or the first to take a loan started in Encompass.

Does it handle co-borrowers or documents?

Not yet: it syncs the loan's borrower. Co-borrowers and documents are planned.

Is it made by ICE Mortgage Technology?

No. Definitive Connector is made by e360 and isn't affiliated with or endorsed by ICE Mortgage Technology. Encompass® is a registered trademark of ICE Mortgage Technology, Inc.
